CBQ — Automating Cheque and Lease Operations with PropRP

CBQ — Automating Cheque and Lease Operations with PropRP

Executive Snapshot

Client: COmmercial Bank of Qatar “CBQ” (Property Leasing Operations, Qatar)
Industry: Real Estate, Property Leasing & Asset Management
Solution: OSOS PropRP (Property Management Platform)
Key Metric Highlights:

  • Zero duplicate cheque entry: cheque assignment, clearance, and status updates now flow automatically from the Cheque Clearing System into PropRP.
  • One cheque can now cover multiple units, realized once and reflected across every linked property.
  • Lease agreements generated automatically at move-in across all four CBQ templates.
  • A single Lease Master Report and an executive dashboard replace manual reports and multi-screen lookups.

The Business Challenge

As a property owner managing a large leasing portfolio with high cheque volumes, CBQ faced several operational challenges:

  • Seamless CCS Integration: OSOS integrated PropRP with CBQ’s Cheque Clearing System, which runs on a separate PostgreSQL database. The team mapped its structure, built the required business logic, and added validations and business scenarios step by step to make the process reliable. Incoming cheques are now assigned to the right leases automatically, clearance is processed automatically, and every cheque status in PropRP updates based on changes received from CCS.
  • Shared Cheques: A new Shared Cheque feature lets one cheque be applied across multiple units, as long as the total amount matches all the linked properties. The cheque is realized once and reflected across every unit held by that tenant.
  • Automated Lease Agreements: The Agreement module now supports all of CBQ’s templates: Residential, Commercial, Corporate, and Residential Corporate. Each template carries CBQ-specific fields, and the agreement is generated automatically once the move-in is completed.
  • Flexible Agreement Template Setup: New components and fields were added to the agreement setup so CBQ-specific details are pulled directly into the agreement based on the selected template, ready for future changes without additional development.
  • Executive Dashboard & Rent Aging Analysis: As part of OSOS’s ongoing product improvements, the dashboard widget now shows key monthly figures, including Portfolio Occupancy, Rent Collection Rate, Total Outstanding, and Lease Expiries, along with a Rent Aging breakdown of overdue amounts. This enhancement is now available to CBQ.
  • Lease Master Report: A comprehensive report covers every lease end to end in one view, including tenant QID, Company Registration Number, lease expiration date, Kahramaa status (inclusive or exclusive), chilled water number and status, and all other relevant lease information.

The OSOS Solution

OSOS extended its PropRP Property Management Platform with integrations and enhancements tailored to CBQ’s leasing and collections operations:

  • Accessible, Clean User Interface: A streamlined administrative interface built specifically for non-technical users, ensuring self-service adoption from day one.
  • Configurable HR & Policy Engine: Flexible policy definitions tailored to the library’s specific organizational hierarchy, leave allowances, and administrative approval paths.
  • Integrated Digital Administrative Records: Centralized repository replacing manual paper files with indexed digital employee records, document attachments, and automated logs.
